UA HR I-9 Process
Getting Started
Federal law requires that every employer who hires an individual for employment in the U.S. must complete Form I-9, Employment Eligibility Verification.
As an HR Coordinator, you will act as the Location Manager for your TKLs.
Use the following form to send us any and all thoughts on LawLogix or I-9s:
You’ll be granted access to a dashboard showing all of the pending I-9s and reverifications for your departments. Your access to LawLogix is set up through Single Sign On and your TKLs are manually updated by Personnel. If you don’t think your access is set up correctly, please contact Personnel right away.
With LawLogix, most of the work of the I-9 is done for you. Once you submit an initiation request to Personnel, the applicant will fill out Section 1 and work with someone to complete Section 2. There is no requirement that Section 2 must be completed by an HR Coordinator.
Location Managers are expected to:
- Monitor their dashboard
- Send reminders to applicants, employees, and/or supervisors if I-9s aren’t getting completed
- Answer basic questions from applicants or employees
- Right click on this link: https://hr1.lawlogix.com/885
- Select “copy hyperlink.”
- Minimize any screens you have open.
- Right click on your desktop.
- Select “new” and choose “shortcut.”
- Right click in the box and paste the URL.
- Select “next.”
- Rename the shortcut and click “finish.”
- Start Offer Card and request background check through myUA/PageUp.
- Once the Offer Card is approved by Talent Acquisition & Development (TA&D), submit the Initiate I-9 Request form.
- HR Personnel initiates the I-9 notice from LawLogix to the applicant within one business day, and notifies the HR Coordinator that this has been completed.
- You will be able to see on your LawLogix dashboard the status of the I-9.
- NOTE: The I-9 process can be quick. If you do not see it, it means the I-9 has been completed and HR Personnel is already reviewing the I-9 for approval
- The HR Coordinator can continue to gather necessary new hire packet paperwork
- Offer Card or Job form
- Appointment letter
- Demographic Form
- Social Security for Exemption (if NT/XT/FT/FW)
- Once the I-9 has been approved the HR Coordinator will receive an email that this has been done and can submit the rest of the new hire paperwork.
No, please do not use the Start I-9 Button.
On the Location Manager dashboard, there is a Start I-9 Button. This does not start an I-9 the way that you expect and the remote agent option cannot be used. Our team will explore the possibility of using this feature after the initial roll-out for those departments that want to do 100% in person I-9s where the employee completes the entire form in the HRC’s office. The Personnel Team will be reviewing all completed I-9s for errors and making corrections or returning to employees as needed. HRCs are able to also return for corrections if they spot them or if the employee points them out. For detailed instructions, please use the Returning I-9 Guide.
Location Managers can update email addresses for employees and Remote Agents through their dashboard. Detailed instructions are provided in the Dashboard Guide.
Send an email to the Personnel Team including the employee name and UA ID (if you have it). Be sure to include the new start date.
