UA Google Workspace Storage Project

Google is ending unlimited free storage for higher education, so the University of Alaska must reduce its digital footprint to meet new limits by December 2025. OIT and campus IT teams are working together to set new storage policies and help users manage their data more intentionally.

Google Storage Changes In Progress

What’s Changing?

Google is ending its free, unlimited storage for colleges and universities—including UA. Like institutions across the country, we’re adjusting how we manage and use Google Workspace storage to align with Google’s new limits.

Why This Matters

UA’s current Google storage usage exceeds the new caps, and maintaining current levels would come at a steep cost. To stay ahead of this, the Office of Information Technology (OIT), in collaboration with IT teams and stakeholders across UAA, UAF, and UAS, is working to reduce our overall digital storage footprint.

This effort includes:

  • Establishing new storage limits and policies
  • Introducing better storage management practices
  • Helping users take a more intentional approach to storing files and data

We’ve been granted an extension to fully implement these changes by December 2025—and we’re using this time to prepare thoughtfully.

April 2025: Launched a system-wide dashboard to track storage usage
• May 2025: Ended use of Google Photos for university accounts

• Defining user and dept-level storage quotas
• Creating retention policies for inactive accounts
• Educating users on effective storage habits
• Storage time limits for former students' and former employees' data
• Actively reducing UA's Google storage footprint

Looking Ahead

These changes will help UA manage resources more effectively while encouraging smarter digital practices. OIT and our campus IT partners remain committed to keeping you informed and supported as we move through this transition together.
