Electronic timesheets for non-exempt employees are coming

In the upcoming weeks, you will receive an email announcing when you can begin to complete and submit your non-exempt time sheet using the new electronic process via UAOnline.� For your first submission using the new process, an open lab with an online ELIVE session will be available for personalized assistance, if needed.� The announcement of the specific date and time of this session will be forthcoming.

In order to be prepared for the new process, we suggest that you take time to:

  • Familiarize yourself with the online interface by viewing the eight-minute employee DEMO.
  • Confirm that you can successfully login to UAOnline.� Note:� If you have not logged into UAOnline recently or are having difficulty logging in, you can find guidance HERE.
  • Review your role and responsibilities as a non-exempt employee HERE.
  • For additional information regarding payroll guidelines, converting minutes to decimal guidance, or time sheet submission timelines, please refer to the HR web-site HERE.

Safety of minors a top UA priority

A MEMO from President Gamble to the chancellors regarding the safety of minors at UA was issued Dec. 5.�� The System Office also occasionally sponsors programs involving minors and everyone needs to be aware of these issues.� Existing resources/recommended safety protocols (chaperoning, minors on campus, camps for minors, etc.) can be found on the Risk Services website HERE.

If you have any existing programs with minors that have not been reviewed by Risk Services, please contact Julie Baecker. Risk Services staff will be happy to meet with you to ensure the best practices are in place.

Protect Your Data Devices

In your home, you likely have a number of devices that connect to the Internet and store data and important information. For example, the main computer in your house may be the place where information such as tax returns, banking records, documents with personal information, and other data is stored. You may also keep sentimental photos, music, and videos stored on your cell phones, laptops or even gaming devices. To be safe and secure, you need to know where this information is and protect it along with the devices where it’s stored.

Find and register for eLearning courses at UAOnline

The Distance Education Gateway will discontinue course search functionality as of Feb. 1, 2012.� Students can search and register for eLearning courses at UAOnline instead.

The Distance Education Gateway will remain online and continue to offer other valuable resources and services to support eLearning.� Please contact your Registrar's office with any questions.

New season of science lectures announced

The Science For Alaska Lecture Series is celebrating its 20th anniversary!

For two decades, Science For Alaska has continued to bring the latest in scientific research to the Fairbanks community. Come out to the 2012 lectures and learn about unmanned aircraft, reindeer, earthquakes and more!

The lectures will be held Tuesday evenings Jan. 31 through March 6 in the Westmark Gold Room located in downtown Fairbanks. A full lineup of this year’s presentations and other information can be found at www.ScienceForAlaska.com.

2011 W-2 Available in UAOnline

UA employees may now view and print a PDF version of their 2011 W-2 in UAOnline.*� The online form can be printed and submitted to the IRS.� For detailed information, please refer to the tax form information on the HR SITE.

*A printed 2011 W-2 form will also be mailed (postmarked) by Jan. 31.� Please allow 1-2 weeks for delivery via the U.S. Postal Service.

Nominations for Outstanding Awards Open Feb. 1–March 9

The Statewide Administrative Assembly, SAA, will accept nominations for 2011 Outstanding UA Statewide Department and Employee Peer Awards Feb.1 through March 9, 2012.

These awards annually recognize employees and departments who consistently contribute to the University of Alaska System by carrying out the responsibilities of their jobs in an exceptional manner. Employees may nominate their coworkers for employee and departmental awards by submitting a nomination form, which will be sent out to all employees and available on the SAA website on Feb. 1, along with official rules and eligibility requirements. One award each will be given to an outstanding department, student, non-exempt and exempt employee.

The winners will be announced during this year's longevity and peer awards event, set for 2 p.m. April 24 in Butrovich 109 and BOB 205. In addition to the peer awards, the event will recognize the commited service of Statewide employees. Please reserve the date and join President Gamble and SAA at an ice cream social to recognize the hard work and dedication of all System staff.

New Voice Over IP Phones installed at Statewide

Statewide employees at the Butrovich had their phones upgraded to new VoIP telephones this week. The new voice mail system went into effect last year. The new handsets integrate the new voice mail system along with other improved functionality. With this new phone comes an entirely new set of features that were not previously available with your old phone. The switch was necessary to reduce risk of failure of the old and outdated telephone switch, to be compliant to the new standard of telephone systems, to remain competative in technological advancements, and to increase efficiency at UA.

New Resource for UA Faculty and Research Community

The Office of Information Technology is pleased to announce UA's federation with the Indiana Clinical and Translational Sciences Institute.

The Indiana Clinical and Translational Sciences Institute (CTSI) is a statewide collaboration of Indiana University, Purdue University and the University of Notre Dame, as well as public and private partnerships, which facilitates the translation of scientific discoveries in the lab into clinical trials and new patient treatments in Indiana and beyond. The Indiana CTSI brings together the resources of academic, commercial and community groups across the state. It provides a "home" to investigators with expertise in a wide range of fields relevant to clinical and translational research.


To participate, UA faculty and researchers need only their UA username and password. The site does require registration. To do so:

  1. Click on "Register" on top right on http://www.indianactsi.org
  2. Choose UAlaska -University of Alaska from the drop down list,� log in with your UA username and password, fill out and submit the registration form
  3. On your next visit, simply choose "Login" on the front page, choose UAlaska-University of Alaska, and your username and password to login.

This brief PowerPoint presentation provides a broad outline of CTSI. These slides review the long-term mission, the key components and the organizational structure of the Indiana CTSI.
