Event Scheduling at the Wood Center : Department Use
The Wood Center has meeting, banquet and reception facilities available to department use free of room rental. To plan a successful event, our Scheduling staff is at your disposal for advice and guidance. We encourage you to take advantage of Wood Center's facilities as well as use our office as your resource of information on planning and facilitating events.
Helpful Planning tips:
Determining room arrangements through our office will be simplified if you plan in advance how you want the room to look. Include what elements you feel are necessary to achieve your event goals. Consider items such as food tables, staging, sound equipment, and dance floor, etc. We can guide you through this process.
To make a reservation use this form. Please indicate the following information on the form: :
- Preferred date of event (with optional dates if needed)
- Time of Event
- Type of Event
- Approximate attendance
- Preference of room(s)
- Contact person's name, phone, address, department, student organization, e-mail, and fax number.
There are a variety of ways you can process your request:
- Call the Scheduling Office at 474-6023. The Scheduling Office is open Monday-Friday, 7:30am-4:30pm
- E-mail your request to fyroom@uaf.edu
- Fax your request to (907) 474-5508
Your reservation will be processed within two days of its receipt. A confirmation will be provided when the reservation has been approved.
Setup Fees/Labor Fees
There are various rooms in Wood Center that maintain a standard setup and you will not be charged a setup fee. For those rooms requiring a setup, the fees are as follows:
- Set-Up/Tear-down.... $17.25/hr
Some events may require various building staff to be present and these labor charges will be at the users expense. The fees are as follows:
- Building Supervisor.... $17.25/hr
- Desk Attendant.... $13.25/hr
Please provide an account number prior to the event and we will JV your department.
Building Hours ExtensionIf your event requires entrance into the building before hours or you need to remain in the building after hours, building hours may be extended with a minimum of ten (10) working days notice pending approval from the Scheduling Office. Once approved, your department will be charged a fee for each extended hour beyond the normal building hours. Click here for building hours.
Food and BeveragesAll food and beverages must be arranged through UAF Dining Services. Please be advised that UAF Dining Services is the sole food provider for UAF. UAF Dining Services can be contacted at 474-6661.
A Food Waiver Request Form must be submitted when there are donations or food is not being provided by UAF Dining Services. For more information, please contact UAF Dining Services at 474-6661.
To serve alcoholic beverages at your event, you must submit an Alcohol Waiver form ten days prior to the event. You can download the form here or pick one up at the Wood Center Scheduling Office.
Wood Center has a wide variety of audio-visual equipment that can be used to enhance your meeting needs.
Please be advised that the space in Wood Center is in high demand. It is important that you cancel a room reservation as soon as you know that your department will not be requiring use of the space. The responsibility of cancellation is yours alone. If there were a question as to whether the event will materialize, we would prefer that you reserve space on a tentative status. If another group requests use of the same space, we will ask you to confirm your needs at that time.
