Who must receive a W-2?

Employers must provide each employee and the Social Security Administration (SSA) a Form W-2 to report wages and taxable benefits paid for each employee for the calendar year. Some exceptions apply for Nonresident Aliens/Foreign Nationals.

When will my W-2 be mailed?

The University of Alaska (UA) is required to furnish copies B, C, and 2 of Form W-2 to employees by February 2 of the following calendar year. The "furnish" requirement is met if the form is mailed on or before February 2.

What if I need a copy of my W-2 for the current calendar year (2004 or later)?

A copy of your current year W-2 (2004 or later) from the University of Alaska is available to view or print on UAOnline at http://uaonline.alaska.edu. Once you "Login to Secured Area," enter your User ID (your Employee ID) and your PIN and select "Login." Next, select "Employee Services," "Tax Forms," and then "W-2 Year End Earnings Statement." Select "Click here for IRS-Compliant W-2." The IRS will only accept this version of the W-2 form.

What if I need a copy of my W-2 for a prior calendar year (2003 or earlier)?

For calendar years 2003 or earlier, contact your campus HR office to request a reissued copy of your W-2 from the University of Alaska.

What if my (HR) mailing address has changed or is incorrect?

W-2s are mailed to the same address as your benefits information, payroll check, and/or payroll advice (autodeposit stub). If your address has changed or is incorrect in the Human Resources (HR) system, your W-2 may be forwarded to your new address or may be returned to the University of Alaska. In the event that you do not receive a W-2 in the mail, you can print an IRS-compliant W-2 for calendar year 2004 or later via UAOnline If you need a copy of your W-2 for calendar year 2003 or earlier, contact your campus HR office.

If you need to revise your HR mailing address, submit a completed and signed UA Change Form to your campus HR office as soon as possible. You can verify your HR address through UAOnline by selecting "Personal Information" at the main screen. Then select "View Address(es) and Phone(s)". Your HR address will be listed along with other address types stored in the Banner system. Please note that you cannot update your HR address online, but must submit a UA Change Form to your campus HR office.

What if my W-2 reflects an incorrect name or Social Security number (SSN)?

If your name or Social Security number (SSN) is incorrect on your Form W-2, request that your campus HR office file a Form W-2c (Corrected Wage and Tax Statement) with the Social Security Administration (SSA) to correct any errors reported. You may be requested to present your Social Security card to your campus HR for verification purposes.

If your name and SSN are correct but are not the same as those shown on your Social Security card, you should file for a new card at any SSA office or call 1-800-SSA-1213.

Why are the amounts different in boxes 1, 3, and 5?

The amounts in Box 1 (Wages, tips, other compensation), Box 3 (Social Security wages), and Box 5 (Medicare wages and tips) will differ from one another and from your year-to-date earnings*, as some items deducted from an employee's gross payroll are pretax items and, therefore, not subject to federal, Medicare, or Social Security tax withholding.

*You may view your year-to-date earnings via UAOnline at http://uaonline.alaska.edu. Select "Login to Secured Area" and then enter your User ID (your Employee ID) and PIN. Next, select "Employee Services," "Pay Information," and "Earnings History." Select the From and To dates (i.e., January 2008 to December 2008) and click "Display." Totals for all of your earnings types will be displayed for the selected period.

Federal pretax deductions include PERS, TRS, ORP, employee and dependent health charges, flexible spending accounts, university parking fees, and TDAs (tax-deferred annuities).

Medicare and Social Security pretax deductions include employee and dependent health charges, flexible spending accounts, and university parking fees.

Other items that are reported in your taxable income include employee taxable benefits that are subject to federal withholding, FICA Old Age (Social Security), and FICA Medicare. Taxable benefit items include UA paid tuition, personal use of university vehicle (mileage), relocation, and FIP (Financially Interdependent Partner) taxable health benefits.

What is Box 14 on my W-2?

Box 14 (Other)* is used for any other information that the University of Alaska might want to furnish to employees. Each item will be labeled appropriately. Items found in this box may include taxable benefits such as graduate taxable tuition, relocation expense, personal use of university vehicle (mileage), and FIP taxable health benefits.

*Note: Box 14 (Other) items will not appear on the UAOnline W-2 Year End Earnings Statement or IRS Compliant W-2.

Will my Flexible Spending Account (FSA) for health care show up on my W-2?

No, your FSA amount for health care will not show up on the W-2 nor will you receive any other form indicating the amount paid into the account. The FSA health care amount is deducted from the employee's gross payroll and is not subject to federal, FICA Old Age (Social Security), or FICA Medicare taxes.

Will my tuition waiver amount appear on my W-2?

Tuition for undergraduate courses is not a taxable benefit and will not appear on an employee's W-2. However, tuition for graduate level courses taken by dependents is a taxable benefit and subject to federal, FICA Old Age (Social Security), and FICA Medicare taxes. Tuition for graduate level courses taken by employees in excess of $5,250 is also a taxable benefit and subject to federal, FICA Old Age (Social Security), and FICA Medicare taxes. Any taxable tuition amount will appear in Box 14 (Other)* and be labeled "Tuition." Contact your tax consultant for the appropriate Internal Revenue Service (IRS) reporting process.

*Note: Taxable tuition will not appear in Box 14 (Other) on the UAOnline W-2 Year End Earnings Statement or IRS Compliant W-2.

Will my relocation payment amount appear on my W-2?

Yes, relocation payments are a taxable benefit and subject to federal, FICA Old Age (Social Security), and FICA Medicare taxes. This amount should appear in Box 14 (Other)* of your printed W-2 and be labeled "Relocate." Contact your tax consultant for the appropriate Internal Revenue Service (IRS) reporting process.

*Note: Relocation will not appear in Box 14 (Other) on the UAOnline W-2 Year End Earnings Statement or IRS Compliant W-2.

Will my FIP (financially interdependent partner) health deductions appear on my W-2?
Yes, FIP health deductions are a taxable benefit and subject to federal, FICA Old Age (Social Security), and FICA Medicare taxes. This total should appear in Box 14 (Other)* of your printed W-2 and be labeled "B-Tx FIP." Contact your tax consultant for the appropriate Internal Revenue Service (IRS) reporting process.

*Note: FIP deduction amounts will not appear in Box 14 (Other) on the UAOnline W-2 Year End Earnings Statement or IRS Compliant W-2.

Will my union dues/fees deduction amount appear on my W-2?

No, the IRS does not require that union dues/fees deductions be reported on the W-2. However, year-to-date union dues/fees deductions can be viewed on UAOnline at http://uaonline.alaska.edu. Select "Login to Secured Area" and then enter your User ID (your Employee ID) and PIN. Next, select "Employee Services," "Pay Information," and "Deductions History." Select the From and To dates (i.e., January 2008 to December 2008) and click "Display." Totals for all of your deductions, including those for union dues/fees, will be displayed for the selected period.

What is a W-2c Corrected Wage and Tax Statement?

The W-2c is an addendum to the W-2 and must be filed with your income tax return along with your original W-2 form. A W-2c may be issued for numerous reasons (e.g., the original W-2 may have reported the incorrect name, Social Security number, incorrect wages, or incorrect taxes). Only the items that need to be corrected will be reflected on the W-2c. As with the W-2, the university sends a copy of the W-2c to the Social Security Administration (SSA).

What if I have filed my income taxes prior to receiving a W-2c?

If you receive a W-2c after you have filed your income taxes, the IRS may require that you file an amended income tax return. Contact your tax consultant for the appropriate Internal Revenue Service (IRS) reporting process.
